The logo file that looks perfect on your website may be unusable for a sign, and the reason has nothing to do with how good the design is.
A website displays your logo at a fixed size on a screen that emits light. A sign reproduces that logo in physical material, often at a size nobody anticipated when the file was made, and may leave it outdoors. The file either contains enough information for that job or it does not.
Artwork problems can stall a sign order after a quote is accepted. Most are also easy to catch before then, because you can run the basic checks before talking to a provider.
Why the file format matters more for signs than for print
The distinction that matters is not quality but what the file physically contains, so it is worth setting out before anything else.
A raster file stores a fixed grid of colored dots. A JPG, PNG, GIF, BMP, or TIFF is a raster file. Enlarging one means the software has to invent information that was never captured, which is why an enlarged logo goes soft, blocky, or fringed at the edges.
A vector file stores the outlines themselves as points, lines, and curves. Common vector formats include AI, EPS, SVG, and PDF files that were saved from a vector program. Because the shape is described rather than sampled, it can be reproduced at any size with the same edge quality. The geometry either exists in the file or it does not.
For signage, that difference is not a matter of appearance alone, and this is the part that catches many buyers by surprise. Resolution affects how a printed banner looks, but much sign artwork is not printed at all. It drives a machine.
Cut metal or acrylic letters, routed faces, vinyl graphics cut on a plotter, and the returns of fabricated letters are all produced from the outlines in the file. The path in your artwork becomes the path the cutter follows. A raster image contains no paths, so there is nothing for the machine to follow, and the shape has to be redrawn before anything can be made.
That is why "we can just make it bigger" is not an option on those products. The issue is not resolution. It is that the required information does not exist in the file.
None of that makes raster artwork useless. A high-resolution photograph or a complex illustration with gradients and soft edges may be reproduced by printing, and for some applications that is the correct approach.
The distinction to raise with a provider is which elements of your design are being cut or fabricated and which are being printed. Those may have different file requirements, and a quote can quietly assume one when you supplied the other.
The sign type changes what the artwork has to do: A single logo can be reproduced in several ways. Each method asks something different of the file.
Fabricated letters, where each character is built as an individual object, require every letterform to be a closed, separable path. Very fine strokes, tight interior counters, and thin connecting elements that look elegant at business-card size can become impractical to build at letter scale, and they may need adjustment. That adjustment is a design decision, so it should come back to you rather than being made silently in production.
Cut vinyl and routed work depend on the same path quality, with the added constraint that isolated interior shapes have to be held in place somehow. A counter inside a letter is not a problem for a printer and is very much a problem for a cutter.
Printed faces and applied graphics are more forgiving of complexity but introduce the color and translucency questions instead, particularly on any face that will be lit from behind.
Dimensional work adds a third dimension the artwork never described. Depth, edge finish, and how the side of a letter is treated are specified separately from the outline, and they change how the mark reads in daylight and in raking light.
Ask which method applies to each element and whether the artwork suits that method as drawn. A file that works for one process may need modification for another. It is far cheaper to find that out before production.
Working out what you actually have
You do not need design software to work out which kind of file you are holding. Before assuming you have vector artwork, run through these:
- Look at the file extension. AI, EPS, and SVG are vector formats. JPG, PNG, GIF, BMP, and TIFF are raster. PDF can be either.
- Open the file and zoom in as far as your viewer allows. Vector edges stay clean at any magnification. Raster edges break into squares.
- Check the file size against the complexity. A simple mark stored as a very large file is often a raster image.
- Look at where the file came from. Artwork exported for a website, pulled from a social profile, taken from a slide deck, or recovered from an old email is almost always raster.
- Check whether you have the original working files from whoever designed the logo, rather than only the exports they sent you.
If you are not certain, say so in the quote request instead of asserting that the file is vector. A provider can determine it quickly, and an incorrect claim only delays things.
The PDF problem: PDF is ambiguous because the container can hold either kind of data. One saved from a vector program can carry true vector data. Another may simply wrap a photograph or screenshot inside a PDF container. Both open the same way and can look identical at normal viewing size, so the extension on its own settles nothing.
Zooming in deeply is the practical test. If the edges break up, the vector data is not there regardless of the extension. Selecting the artwork in a viewer that can show individual objects is a second check, since a true vector drawing is made of separable shapes while a wrapped image behaves as one block.
If a PDF is all you have, say that it is a PDF and let the provider open it rather than describing it as vector artwork. The distinction takes a moment to confirm on their side and avoids a quote written against a file that cannot produce the sign.
Preparing the file so it survives fabrication
A production-ready file is usually the same logo with a few things settled in advance. Three of them can be handled on your side before anything is sent, and they remove most of the questions a shop otherwise has to come back with.
Send the current, approved version. Businesses accumulate logo variants: an older mark, a revision, a horizontal lockup, a version somebody adjusted for a specific use. Confirm internally which one is current and approved before sending, and say which file is authoritative if you send more than one.
Check for embedded raster content. A vector file can contain a raster image placed inside it, and that embedded element will still pixelate when enlarged even though the file itself is technically vector. Look for placed images, linked files that were never packaged, and effects such as drop shadows or glows that may be rasterized on export.
Look at the paths themselves if the artwork was ever traced from an image. Traced artwork often carries far more anchor points than the shape needs, along with tiny irregularities invisible on screen that become visible on a large letter and can create difficulty in cutting and finishing. Clean, deliberate paths reproduce better and cause fewer questions in production.
Two further items are worth setting out at more length, because they are the ones most often left until after a proof has already gone out.
Convert type to outlines: If your logo includes typeset text, the file references a font. If the party producing the sign does not have that exact font, the software may substitute another one, and the substitution can go unnoticed until the letters are already cut.
Converting text to outlines turns the letterforms into shapes that no longer depend on the font being installed. Keep an editable copy for yourself before you do it, because outlined text can no longer be retyped.
Name the colors rather than showing them: A color that looks right on your monitor is not a production reference. Supply a named color reference for every element, such as a spot-color standard like a Pantone number, along with whatever your brand guidelines specify. Screen values such as RGB or HEX are useful context but are not sufficient on their own for physical material.
Colors also behave differently on different substrates and finishes, and differently again when a sign is illuminated from behind. Naming the reference is what allows that conversation to happen at all.
When the vector file does not exist
Sometimes the search ends with no vector file anywhere: the original working files were never delivered, or they left with a designer years ago. That position is workable, but it adds work that has to be scoped and priced rather than assumed, and there are two things worth understanding before you agree to anything.
Redraw is a scope item, not a formality: If nobody has the vector artwork, somebody has to rebuild it. That work takes time, involves judgment about curves and proportions your original designer made once already, and needs your approval when it is finished because the result will not be pixel-identical to the raster you supplied.
Treat it as a priced line item. Ask whether redraw work is included in the quote or excluded, how many rounds of revision are covered, who approves the rebuilt artwork, and who owns the resulting file afterward. That last question matters more than it seems, because the rebuilt file is what every future sign order will depend on.
Costs for this work vary by complexity and by provider. Ask for it to be quoted rather than assuming it is free or assuming it is expensive.
Automatic tracing has limits: Automatic tracing tools can convert a raster image into vector paths, and for a simple, high-contrast shape the result is sometimes usable. For a logo with fine detail, soft edges, gradients, or overlapping elements, tracing tends to produce ragged outlines and excess anchor points that show up at sign scale.
Trace output is a starting point for a person, not a finished production file. If a trace is being used, ask who is reviewing and correcting it and whether you are approving the corrected version.
Artwork responsibilities to settle in writing

Leave one of these items unsettled and somebody may have to make the decision without you.
Keep the artwork record after the job: The production-ready file is an asset, but businesses often lose track of it. It may sit in one person's email or with a designer who has moved on. Three years later, a replacement sign or second location starts the whole exercise again.
When the project closes, ask for the final production artwork in a format you can store and reopen, and confirm in writing that you may use it with other providers. Keep it somewhere that survives staff changes rather than on an individual machine.
Alongside it, keep a short record for each sign: the material, the finish, the named color reference for every element, the illumination specification if any, the overall and face dimensions, the artwork file location, and the order date. A later request then starts from known information rather than another round of guessing, and a second location can be specified to match the first instead of approximately resembling it.
What to send with a quote request: Most of what follows is a by-product of the checks above rather than new work. Gather it in one place before you write the request:
- the vector artwork in AI, EPS, SVG, or a vector-saved PDF, with type converted to outlines
- an editable copy retained on your side before outlining
- a named color reference for every element, plus your brand guideline document if one exists
- a plain statement of which file is current and approved
- a note on any element you know to be a placed raster image
- the raster version as well, so the intended appearance can be checked against the vector
- an honest statement if you do not have vector artwork, so redraw can be quoted rather than discovered
- the range of sizes the mark may be produced at, since very small and very large applications can raise different questions
- lease or property sign criteria that constrain the artwork

Before you approve the proof
Compare the business name spelling, phone number, suite number, and every displayed detail against a source you can verify. Confirm the letterforms match your intended font rather than a substitute. Check that proportions and spacing match your approved mark rather than a redrawn approximation. Compare every color against the agreed named reference rather than its appearance on your screen, and get the expected illuminated appearance stated in writing for any lit element.
The artwork question survives into this step, because a picture of your logo is not the same object as the file the machine will follow. A visual mockup helps you explore layout, scale, placement, and visual direction before a production quote. It is not a final proof, an engineering drawing, a permit set, a structural or electrical document, a fabrication file, an installation plan, a code document, or a promise of installed appearance. Ask which document in the sequence is the one that releases the job to production, and what a change after that point does to scope and price.
Requirements can vary by property, municipality, and project scope. Treat this as planning guidance and confirm final requirements before production or installation.
