A quote request usually arrives carrying a single measurement: how big the buyer wants the sign to be.
That figure is often the least useful number in the conversation. It describes a preference, not a constraint. The useful dimensions describe the available space, what already occupies it, and how far away the sign must be read.
Put those dimensions on paper early and the estimate can address your building instead of a generic one. Conflicts also surface while they are still inexpensive to resolve.
Measure the space before you measure the sign: Start with the wall, fascia, or ground area under consideration and record its full width and height. That is the physical envelope.
The permitted envelope is usually smaller, and it comes from somewhere else. Lease sign criteria, shopping center or property standards, and local sign regulations can all restrict the area, position, height, projection, or illumination of a sign. Those limits are set by the landlord or property manager and by the municipality, and they vary by property and by jurisdiction. Nothing in an article can tell you what applies at your address.
Find out what governs your property before sizing anything. A design that fits the wall but exceeds the permitted area is not a design yet.
Next, walk the area and write down everything mounted on it or crossing it: conduit, junction boxes, light fixtures, cameras, vents, downspouts, expansion joints, panel seams, awning hardware, and the holes and patches left by a previous sign.
Record roughly where each item sits relative to the edges of the area, then photograph it from the ground. An obstruction found during installation can become a change order. The same obstruction documented in the request is a design input.
Also note what is beneath and in front of the position: sidewalk, entry doors, a drive lane, parking, landscaping, or anything that affects both clearance requirements and how a crew would reach the work.
Face size, overall size, and projection are three different numbers
These three are easy to mix up, and the difference between them changes what a quote actually covers.
The sign face is the visible area carrying the design. On a cabinet or lightbox sign, it is the panel inside the retainer. On dimensional or channel letters, it is the front of each letter or element.
The overall size is the full extent of the assembly. For a cabinet, that includes the frame surrounding the face, so the overall dimensions are larger than the face. For letters mounted on a raceway, the raceway is a horizontal box carrying wiring and components, and it adds its own height and length beyond the letters themselves.
Projection is how far the assembly stands off the wall. Cabinet depth, letter depth, raceway depth, and standoff hardware all contribute.
Keep all three separate in every document. A quote based on face dimensions and a permitted area based on overall dimensions can differ substantially, and the discrepancy tends to appear at the worst possible moment.
Depth is a dimension with consequences: Projection is not cosmetic. Anything standing off a wall above a walkway or drive is subject to clearance requirements, and those requirements are set by the applicable local rules rather than by preference. Depth also affects mounting hardware, wind loading on an exterior sign, and how a component is reached for later service.
Ask any provider explicitly what the proposed mounting method is and what it adds to overall dimensions and projection. A design quoted as a set of letters and a design quoted as letters on a raceway are physically different objects.
Size for the distance the sign is read from
Before discussing letter height, establish where your sign actually has to work. Stand at each position that matters: the point on the road where a driver first needs to identify you, the entrance to the parking area, the sidewalk approach, and the nearest competing distraction. Measure or estimate those distances and write them down alongside the direction of approach.
This list is more useful than a single figure. A sign usually has to work at more than one distance, and those demands can conflict.
Published rules of thumb vary, so test instead: Widely repeated guidance links letter height to viewing distance, but the ratios quoted in circulation differ considerably from one source to another, and they are generalizations rather than requirements. They are a reasonable way to arrive at a starting size. They are not evidence that a particular size will work at your location.
A practical check costs almost nothing. Print the proposed lettering at full size, or mark the letter height on a board, then view it from the recorded distances in the light and at the speed at which people will see the sign. If it fails there, it will fail on the wall.
Several factors move the answer independently of distance: traffic speed, since a driver has less time to read; contrast between the lettering and its background; the weight and complexity of the typeface, where simple, open letterforms hold up better; the amount of visual competition nearby; and whether the sign is illuminated, which changes the nighttime result substantially.
The angle matters as much as the distance: Distance is only half the geometry. A sign flat against a wall that traffic passes parallel to is read at a sharp angle for most of the approach, and its effective width shrinks accordingly. That is the reason projecting and blade signs exist on pedestrian streets, and the reason a wide fascia sign can underperform on a road that runs alongside it.
Record the approach angle along with each distance. Note also whether anything intermittently blocks the view: mature trees, a neighboring canopy, parked delivery vehicles, or a pole in the line of sight. A sign sized for a view that is rarely available has been sized against the wrong condition.
Height above grade interacts with this. Higher placement can clear obstructions and extend the distance at which a sign is first seen, while lower placement usually reads better close in. Both are constrained by what the property and the applicable local rules permit, so establish those limits before deciding.
Freestanding signs are measured differently
A monument, pylon, or other freestanding sign introduces dimensions a wall-mounted sign never has.
The overall height is measured from finished grade to the top of the structure, and it is frequently capped. The footprint includes the base or supports, not only the cabinet, and that footprint has to sit within whatever setback applies from property lines, easements, rights of way, and sight triangles at driveways and intersections. Where those boundaries actually run is a survey question rather than an estimate from the parking lot.
The supporting structure and its foundation are engineering matters determined by the sign, the site, and the applicable requirements, and they belong to a qualified engineer rather than to a measurement you take. What you can usefully record is the intended position, the grade and slope around it, the distance to available power, what is above the position, and what is buried nearby as far as anyone knows.
Before any excavation, underground utilities have to be located through the proper process by the responsible parties. That is not a measurement task and it is not optional.
Interior signage has different priorities: Interior measurements are dominated by shorter viewing distances and by accessibility requirements. Mounting heights, character sizes, tactile characters, and clearances for accessible signage are governed by applicable accessibility standards and by local requirements, and those requirements are specific and enforceable. Confirm what applies to your space with a qualified party rather than estimating.
Beyond that, record the exact wall segment available, the position relative to doors and their swing, corridor width, ceiling height, and the finish being mounted into, since drywall, glass, masonry, and panel systems each affect the mounting approach.

Assign each row in writing before comparing prices. A quote that omits a row has not necessarily included it.
Measure safely, record honestly, and keep the record
Everything worth measuring for a quote request can be reached from the ground. Do not climb, use a ladder, or work at height to take a dimension, and do not open or reach into an existing illuminated sign. Elevated access and contact with an energized sign belong to a qualified party.
Where a figure cannot be measured safely, estimate it and label it as an estimate. Photograph the area with a tape measure visible against a known element so the scale can be checked independently.
Mark every number as measured or estimated when you send it. That habit can matter more than extra precision because it tells the provider which figures need field verification. Where a project calls for a field survey, its scope, cost, and responsibility are project-specific and must be confirmed in the quote.
Then keep that record. Write the set down once, in one place, rather than reconstructing it from memory and old emails each time. A usable record holds the area dimensions, the permitted area and its source, the obstructions, the face and overall dimensions of what was installed, the projection, the mounting method, the viewing distances, and which figures were measured rather than estimated.
For a business with more than one site, keep that record per location and note where the sites differ. The differences are the point. Two locations that look similar can have different permitted areas, different mounting surfaces, and different approach distances, and a program that assumes they are identical produces one sign that fits and one that does not.
What to gather before requesting a quote

Before you approve dimensions
Match every dimension on the drawing to the dimension in the quote, and confirm which is face size, which is overall size, and which is projection. Check the proposed size against the permitted area rather than against the wall. Confirm the mounting method shown and what it adds to the overall assembly.
Then ask which figures the price is built on. Ask specifically which of your supplied measurements the provider has treated as reliable, which would be verified in the field, what happens to scope and price if verification finds something different, and who carries that difference.
Confirm what the drawing is. A visual mockup helps you explore layout, scale, placement, and visual direction before a production quote. It is not a final proof, an engineering drawing, a permit set, a structural or electrical document, a fabrication file, an installation plan, a code document, or a promise of installed appearance.
Requirements can vary by property, municipality, and project scope. Treat this as planning guidance and confirm final requirements before production or installation.
