A sign drawing is your last inexpensive chance to catch a mistake. Once you approve it, correcting that mistake could mean re-fabrication, another site visit, or living with a sign that reads poorly from the street.
Drawing reviews often go wrong in a predictable way: the reviewer looks at the picture, decides it seems right, and signs. Yet the picture is rarely the problem. Trouble is more likely to hide in the dimensions, material callouts, mounting notes, or the small revision block in the corner.
Work through the drawing in a fixed order instead of scanning it. Write your questions down rather than resolving them in your head, and send them back as one list.
Establish what you are actually approving
A visual concept and production documentation are different documents. A drawing can be a sales visual, a scaled design intent drawing, a shop drawing for fabrication, or a submission set prepared for local review. They look similar to someone who does not work with them daily, and they carry very different weight.
Ask the provider to state, in writing, what the document is for and what your signature on it authorizes. Ask whether anything further has to be produced before fabrication starts, who produces it, and whether you see it again before it goes to the shop.

Read the revision block before you read the drawing. Find the revision number, the date, and the drafter. Confirm that the sheet in front of you is the one your last round of comments produced, and that no one on your side is reviewing an older PDF pulled from an earlier email. Ask how revisions are numbered and how superseded sheets are marked, then keep one copy of each approved sheet in a place your whole team uses.
Version confusion can leave you approving a drawing nobody intended to approve. A quick check now can prevent a costly correction later.
General notes and abbreviations carry the exclusions: The general notes block is usually set in the smallest type on the sheet. It is also where scope can quietly leave the drawing, so read it line by line before studying the illustration.
Watch for shorthand that moves work to you or puts off a decision. Phrases such as "by others," "not in contract," "verify in field," and "as required" each have a specific meaning. None confirms that the item is handled. Whenever you find one, ask who is responsible for the work and where, if anywhere, it has been priced.
Silence matters too. If the drawing says nothing about removing an existing sign, patching the wall behind it, or restoring a finish, do not assume that work is included. Ask.
Read the elevation for placement and proportion
An elevation shows the sign as it would appear looking straight at the face of the building or structure. It is the sheet that answers whether the sign belongs where it is drawn. A usable elevation should show:
- the sign drawn to a stated scale on a representation of the actual wall, fascia, or structure, not a generic rectangle
- the architectural features that constrain the position: windows, doors, expansion joints, downspouts, control joints, changes in wall material, and the roofline
- the distances from the sign to the features around it, so position is defined by measurements rather than by eye
- the height from finished grade or another named reference point to a named point on the sign
- for a projecting sign, a side elevation showing how far it stands off the wall and what it passes over below
- for a freestanding sign, the base, the grade condition, and the overall height above that grade
- any adjacent signage that the new sign has to sit beside without looking accidental
Compare it against a photograph of the wall as it exists: Elevations are often drawn from architectural records rather than from the building as it stands. Conduit, patched masonry, previous mounting holes, added lighting, and later renovations do not appear on an old drawing. Take a straight-on photograph of the wall from the ground, at a consistent distance, and hold it beside the elevation.
If the wall in the photograph does not match the wall in the drawing, raise the mismatch before you approve. A condition that exists on the building but not on the sheet has to be resolved on the drawing, not discovered by the crew.
Reconcile the dimensions against the site
Before you compare the sheet with the site, check whether the sheet agrees with itself. These conflicts are easier to spot than field problems, but can be just as expensive if they survive approval.
Add the individual dimensions along one edge. Do they total the stated overall figure? Check that any stated scale works as printed. If the sheet is marked not to scale, do not take measurements from the illustration; use only the written dimensions.
Now compare the sheets with one another. An elevation, detail, and section for the same sign should agree on size, projection, and mounting height. If they do not, ask which sheet governs and have the conflict corrected on the drawing. An explanation left in an email can easily become separated from the approved set.
Measure what can be measured safely: Measure what you can reach from the ground: storefront width, distances between openings, the usable band of wall, the clear area around the intended position. Note how each figure was obtained, because an estimate and a tape measurement should not travel forward carrying the same authority.
Do not climb, work at height, or measure anything that requires reaching an existing energized sign. Elevated measurement belongs to a party qualified and equipped to do it, and confirming field dimensions is normally part of somebody's priced scope. Find out whose.
Dimensions worth checking line by line:
- overall sign width, height, and depth, including any backer panel, raceway, or frame
- individual letter or element height, since that is what drives legibility at a distance far more than overall width
- stroke width and the spacing between letters, words, and lines
- logo proportions, and whether the aspect ratio survived being placed into the layout
- the projection from the wall for anything dimensional or protruding, and the clearance beneath it
- mounting height from the named reference point, and what that reference point actually is
- for a cabinet or panel sign, the difference between overall face size and the visible opening left after a retainer or frame covers the edges
- the distance from the sign to property lines, walkways, drive lanes, and neighboring tenant space
Compare those figures with the quote. If the drawing and quote disagree on size, they describe different products, but only one was priced.
Materials, finishes, and color references
A material callout that says "metal letters" or "acrylic face" is not a specification. It is a category. Ask for the exact material, grade, gauge or thickness, and construction method for every component, and ask that those figures appear on the drawing rather than only in conversation.
Finishes need the same treatment. A paint system, a vinyl type, and a metal finish each behave differently outdoors, are cleaned differently, and age differently. Ask what the material supplier considers an acceptable cleaning method, because routine maintenance performed the wrong way can damage a face or finish that would otherwise have lasted.
Color is where drawings most often mislead. A color approved on a screen has been approved under one specific display, in one specific room. Ask for a named color reference for every element, ask how a translucent element is expected to read after dark as well as in daylight, and ask what the tolerance is between the named reference and the produced result. If the sign has to sit beside existing signage that is staying, ask in writing how the new work is expected to compare to the old.
Material selection also interacts with the site. Exposure, orientation, and local conditions affect how a given material performs at a given address, and no general durability statement covers every case. Ask for the manufacturer's published data for the exact product being quoted, and treat that data as the reference.
Mounting notes and what sits behind them: A mounting note earns its place on the sheet only when it is specific. A usable one names:
- the mounting method, described specifically rather than by category
- the fastener or anchor type, material, and the substrate each is intended for
- what the sign is being attached to, and whether that substrate has been confirmed or assumed
- how power reaches an illuminated sign, where it enters, and where components sit
- any penetration through the building envelope and how it is sealed
- what has to be removed, patched, or repaired first, and to what finish
- what equipment and site access the method implies
Keep electrical, structural, and installation scopes separate: Mounting notes tend to compress several distinct scopes into one line. Pull them apart.
A sign provider or fabricator may specify hardware and internal components. Whether the wall, parapet, or supporting structure can carry the proposed sign is an engineering question for a qualified engineer, and it is a question the drawing may assume rather than answer. The circuit, disconnect, and final connection are the work of a licensed electrician, and the jurisdiction may require that work to be inspected. Whether the project needs local review at all depends on the sign, the property, and the municipality, and that determination has to be made by somebody who has actually checked.
None of that is decided by a note on a drawing. The note tells you which questions are open.
Who is positioned to answer each part of a drawing
This table does not assign work to Signage.com or to any other provider. Work down the rows and name a party for each one in writing. A row nobody has claimed is an open question rather than a settled one, and the drawing will not close it for you.
Check the content of the sign, not only its shape: Some of the most embarrassing sign errors are simple spelling mistakes.
Before approving, compare every displayed character against a source you can verify: legal business name, trade name, suite number, phone number, web address, and any tagline or secondary copy. Check them against a document, not against memory. Confirm that the logo on the drawing is the current version and that the fonts are the licensed ones your brand actually uses, supplied as vector artwork with fonts converted to outlines.
Then confirm quantity, and confirm which faces of a double-sided sign carry which artwork.
What to have in front of you before the review: You do not need every item to begin, but each one removes an assumption from the drawing.
- the current drawing set, with the revision block visible
- the quote it is supposed to match
- a straight-on photograph of the wall or site as it exists today, plus a wider view showing context
- your own ground-level measurements, with a note on how each was taken
- lease sign criteria, property sign standards, and any recorded restriction that applies
- prior drawings, permits, or vendor records for any existing sign at the position, or a clear statement that none exist
- vector artwork with fonts outlined, and a named color reference for every element
- a verified source for every word and number that will appear on the sign
- site access notes covering parking, pedestrian traffic, overhead conditions, and business hours
If the sheet in front of you shows individually mounted letters, the callouts that carry the most weight are the ones describing how each letter is built and lit: face and return material, letter depth, the illumination method, and whether the letters attach directly to the wall or to a raceway or backer panel. Reading channel letter sign options beside the drawing gives you the vocabulary to check whether each of those is actually stated on the sheet rather than left as a category. It does not determine fit, structural adequacy, electrical scope, local review, or installation requirements for your address.
How you return the drawing decides what happens next
A careful review can still end in a dispute if the response is vague.
Put each comment on the sheet beside the element it concerns. That is harder to misread than a paragraph referring to "the sign on the left." Number the comments, keep each one to a single item, and make clear whether you need a correction or are asking a question.
Two responses that sound similar can have very different effects. An outright approval releases the drawing as shown. An approval subject to stated corrections does not. In that case, the sheet should come back with the corrections shown. State which response you intend and ask how the provider records it.
The sheet you sign should carry your name, the date, its exact revision number, and a line stating what the approval covers and what remains open.
Before signing, ask how a later change would affect cost and timing. A request made before artwork goes to the shop is different from one made after a submission is filed, materials are ordered, or fabrication has begun. Have the effect at each stage explained in writing while you still have the chance to weigh it.
These are the questions worth putting in writing before you approve:
- What exactly does my approval on this sheet authorize, and what still has to be produced before fabrication?
- Which dimensions on this drawing are field-verified, and which are assumed?
- What is the exact material, grade, and thickness for each component?
- What is the named color reference for each element, and what tolerance applies?
- What is the sign attaching to, who confirmed that, and what happens if the substrate is different than assumed?
- Which scopes are excluded from this drawing and this quote?
- Who determines whether local review is required, and who files if it is?
- How would a change in site findings, property approval, or local review affect scope and price?
Requirements can vary by property, municipality, and project scope. Treat this as planning guidance and confirm final requirements before production or installation.
